Creating Appointments
Ready to book a client in? Creating an appointment takes just a few steps. The system guides you through the process and automatically handles things like time slot availability, so you don't have to worry about double-bookings.
Opening the Form
Click the "Create new appointment" button (the + icon) at the top of the Calendar page. A side panel will slide open from the right with the appointment form.
Selecting a Client
Choose an existing client from the dropdown list. Start typing a name or phone number to filter the results.
Don't see the client?
No problem — click the "+" button next to the client field to create a new client right there on the spot. You'll need to provide:
- Phone number (required)
- First name (required)
- Last name (optional)
- Email (optional)
- Language (choose from 10 supported languages)
TIP
Creating a client inline from the appointment form saves you a trip to the Clients page. The client is automatically added to your company's client list.
Choosing a Service
Use the cascading selector to pick the right service:
- Select a service group first (e.g., "Hair Services," "Nail Care")
- Then pick the specific service within that group (e.g., "Haircut," "Balayage")
The service price and duration will be applied automatically.
Selecting an Employee
Pick the employee who will provide the service. Only employees associated with your selected branch are shown.
Picking a Time Slot
Choose from the list of available time slots. These slots update automatically based on:
- The selected employee's working schedule
- Existing appointments already on the books
So what you see is what's actually available — no guesswork required.
Setting Up Reminders
Want to make sure the client doesn't forget? Toggle "Appointment reminder" on. When enabled, you can set the reminder interval — that's how long before the appointment the client will receive a notification.
Turn it off if you'd rather not send a reminder for this particular booking.
Adding a Description
The description field is your space for notes. Anything the employee should know before the appointment — "Client prefers shorter layers," "Allergic to latex," "Bringing their dog" — goes here.
This field is entirely optional.
Saving
When everything looks good, click "Create" to book the appointment. It will appear immediately on the calendar as a colored block in the selected employee's column.
INFO
If the "Create" button seems unresponsive, make sure all required fields are filled in — client, service, employee, and time slot are all necessary.
