Employee Schedule
This is where you define when each employee works. A well-configured schedule is the backbone of your booking system — it tells clients when they can book and ensures no one gets double-booked during lunch. WantVisit supports both regular (repeating weekly) and irregular (specific date) schedules, giving you full flexibility.
Overview
The schedule system works with time blocks — chunks of time assigned to a specific day. Each block has a type:
- Working time — the employee is available for appointments
- Break time — the employee is unavailable (lunch, meetings, personal time)
By combining these blocks, you can build out any work pattern you need.
Selecting an Employee
Use the cascading dropdown at the top of the page:
- Select a company
- Select a branch (location)
- Select an employee
The schedule view will load for the selected employee.
Regular Schedule
The regular schedule is a repeating weekly pattern. Set it once, and it applies to every week going forward. This is your employee's standard work routine.
To add a regular schedule block:
- Select a day of the week (Monday through Sunday)
- Set the start time and end time
- Choose the block type:
- Working time — available for appointments during this period
- Break time — unavailable during this period
- Click "Create" to add the block
Building a Typical Schedule
For example, to set up a Monday-to-Friday, 9-to-6 schedule with a lunch break:
- Monday: Working time 09:00–13:00, Break time 13:00–14:00, Working time 14:00–18:00
- Repeat for Tuesday through Friday
- Leave Saturday and Sunday empty (no blocks = day off)
TIP
Set up the regular schedule first (your employee's normal working week), then use irregular schedules for exceptions like holidays or special events.
Irregular Schedule
The irregular schedule handles exceptions — specific dates that differ from the regular pattern. Use it for:
- Holidays and days off
- Special extended hours
- One-time availability changes
- Covering for a colleague on an unusual day
To add an irregular schedule block:
- Pick a specific date from the date picker
- Set the start time and end time
- Choose the block type (Working time or Break time)
- Click "Create"
The irregular schedule takes priority over the regular schedule for that specific date. So if your employee normally works Mondays but you add an irregular "day off" for a specific Monday, the irregular schedule wins.
Overlap Warnings
WantVisit watches your back when it comes to scheduling conflicts. If a new schedule block overlaps with an existing one, you'll see a warning:
"Schedule overlap — The schedule will be overwritten."
This means the new block will replace the conflicting part of the existing block. It's designed to make updates easy, but it also means you should double-check your time ranges before confirming.
WARNING
When creating a new schedule block that overlaps with an existing one, the existing block will be overwritten. Double-check your time ranges before saving.
Viewing the Schedule
The schedule is displayed as a weekly grid showing all configured blocks. Each block displays:
- The time range (e.g., 09:00–13:00)
- The block type (Working time or Break time)
This gives you a clear visual overview of an employee's entire week at a glance. Gaps in the grid represent time when the employee is not scheduled — and therefore not available for bookings.
Deleting a Schedule Block
To remove a schedule block:
- Find the block in the schedule grid
- Click the delete button on the block
- Confirm in the dialog
Deleting a regular schedule block removes it from every future week. Deleting an irregular block only affects that specific date.
INFO
If you delete all schedule blocks for an employee, they won't have any available time slots. Clients won't be able to book appointments with them until you add new schedule blocks.
